REFUND POLICY

This Refund Policy explains the refund and cancellation rules applicable to private service fees paid to US Visa Desk.

US Visa Desk is a private and independent visa and travel-document assistance service. Our service fees are charged for private assistance and are separate from government fees and independent third-party charges unless expressly stated otherwise during the purchase process.

By purchasing a service from US Visa Desk, the customer acknowledges that they have read and understood this Refund Policy.

1. Scope of This Refund Policy

This Refund Policy applies to service fees paid directly for services provided by US Visa Desk.

Depending on the purchased service, this may include fees for:

  • Visa application assistance;
  • Travel authorization assistance;
  • Application preparation support;
  • Document review;
  • Document checklist guidance;
  • Appointment-related assistance;
  • Appointment scheduling or rescheduling assistance;
  • Interview preparation;
  • Customer support;
  • Other services specifically described at the time of purchase.

This Refund Policy does not control refunds of government fees or fees charged and retained by independent third parties.

2. Refund Eligibility Summary

A customer may request cancellation and a refund within three (3) calendar days or 72 hours from the time of purchase, provided that US Visa Desk has not begun substantive work or started providing the purchased service.

Once substantive work or service delivery has begun, the US Visa Desk service fee will be non-refundable, to the extent permitted by applicable law, even if the refund request is submitted within the three-day or 72-hour period.

After the three-day or 72-hour refund request period has expired, US Visa Desk service fees are non-refundable, except where a refund is required by applicable law or where US Visa Desk expressly agrees otherwise in writing.

3. Three-Day Refund Request Period

A customer may request cancellation within three (3) calendar days or 72 hours from the exact time of purchase.

A refund under this section is available only if:

  • The refund request is received within 72 hours of purchase; and
  • US Visa Desk has not begun substantive work; and
  • Service delivery has not started; and
  • No substantial part of the purchased service has been delivered.

If substantive work or service delivery begins before the cancellation request is received, the service fee becomes non-refundable to the extent permitted by applicable law.

4. How to Request Cancellation Within Three Days

To request cancellation, the customer must contact:

The request should include:

  • Customer’s full name;
  • Email address used for purchase;
  • Order or transaction reference;
  • Date and time of purchase;
  • Service purchased;
  • Reason for cancellation.

The time at which the cancellation email is received may be used to determine whether the request was submitted within the applicable 72-hour period.

Customers should not send complete payment card numbers by email.

5. Service Commencement

Service delivery may begin after payment and after US Visa Desk receives sufficient information or authorization to begin work.

Substantive work may include, but is not limited to:

  • Reviewing customer information;
  • Reviewing submitted documents;
  • Checking application information;
  • Preparing application-related information;
  • Beginning application assistance;
  • Identifying errors or missing information;
  • Preparing a document checklist;
  • Starting appointment-related assistance;
  • Searching for appointment availability;
  • Beginning appointment scheduling or rescheduling assistance;
  • Preparing interview materials;
  • Conducting interview preparation;
  • Providing another substantial component of the purchased service.

Once any substantive work has begun, the service fee becomes non-refundable to the extent permitted by applicable law.

6. Service Started Within the Three-Day Period

The three-day refund request period does not mean that US Visa Desk must wait three days before beginning work.

US Visa Desk may begin providing the purchased service before the expiration of the 72-hour period.

If the service begins before a valid cancellation request is received, the service fee becomes non-refundable to the extent permitted by applicable law.

Customers who do not want service delivery to begin immediately should contact US Visa Desk promptly after purchase.

7. Refund Requests After Three Days

Refund requests submitted after three calendar days or 72 hours from the time of purchase will generally not be eligible for a refund.

After the refund request period expires, the US Visa Desk service fee is non-refundable to the extent permitted by applicable law.

Exceptions may be made where:

  • Required by applicable law;
  • A verified duplicate payment occurred;
  • A verified billing error occurred;
  • US Visa Desk expressly agrees otherwise in writing.

8. Customer Document Responsibility

Customers are responsible for providing accurate, valid, complete, current, and timely documents required for their application or requested service.

Customers should review document requirements carefully and provide requested documents within a reasonable time.

US Visa Desk is not responsible for a customer’s inability or failure to provide required documentation.

9. No Refund for Missing Documents

Once substantive work or service delivery has begun, no refund will be provided solely because the customer:

  • Cannot provide required documents;
  • Fails to provide required documents;
  • Provides incomplete documents;
  • Provides insufficient documents;
  • Is unable to obtain supporting documents;
  • Decides not to provide requested documents.

US Visa Desk service fees compensate us for assistance work performed and are not conditional upon the customer’s ability to provide every required document.

10. No Refund for Invalid or Expired Documents

Once service has begun, no refund will be provided solely because a customer’s document is:

  • Invalid;
  • Expired;
  • Damaged;
  • Incomplete;
  • Incorrect;
  • Unacceptable to a government authority;
  • Otherwise insufficient for the relevant application process.

Customers are responsible for ensuring that the information and documents they provide are genuine and accurate.

11. Additional Documents Requested by Government Authorities

A government authority may request additional documents or information at any stage of an application process.

Such a request does not automatically create a right to a refund.

Once US Visa Desk has begun substantive work, the service fee will not be refunded solely because a government authority:

  • Requests additional documents;
  • Requests additional evidence;
  • Requires additional information;
  • Requires further review;
  • Delays a decision pending additional documents.

12. Private Service Fees

US Visa Desk charges private service fees for assistance and support.

Service fees may compensate US Visa Desk for:

  • Reviewing customer information;
  • Application assistance;
  • Administrative support;
  • Document review;
  • Document checklist preparation;
  • Appointment-related assistance;
  • Appointment search activities;
  • Interview preparation;
  • Customer communication;
  • Customer support;
  • Other services included in the purchased package.

US Visa Desk service fees should not be confused with government fees.

13. Government Fees

Unless expressly stated otherwise, government fees are separate from US Visa Desk service fees.

Government fees may include:

  • Visa application fees;
  • Consular fees;
  • Filing fees;
  • Travel authorization fees;
  • Other official government charges.

Government authorities control their own fees and refund policies.

US Visa Desk does not guarantee refunds of government fees.

14. Third-Party Fees

Certain services may involve independent third-party charges, including fees from:

  • Payment processors;
  • Banks;
  • Card issuers;
  • Courier companies;
  • Translation providers;
  • Medical examination providers;
  • Document delivery providers;
  • Other independent providers.

US Visa Desk does not control independent third-party refund policies and cannot guarantee the refund of fees retained by third parties.

15. Visa Refusal

A visa refusal does not create a right to a refund of US Visa Desk service fees after substantive work has begun or services have been performed.

US Visa Desk provides private assistance services.

US Visa Desk does not sell, issue, approve, or guarantee visas.

All visa decisions are made exclusively by the relevant government authorities.

16. Travel Authorization Refusal

A refusal or denial of a travel authorization does not create a right to a refund of service fees for work already started or performed.

US Visa Desk cannot control or influence government travel authorization decisions.

17. Administrative Processing

Administrative processing does not create a right to a refund for services already started or performed.

US Visa Desk cannot control:

  • Whether administrative processing occurs;
  • How long administrative processing lasts;
  • Whether additional checks are required;
  • The final government decision.

18. Appointment Availability

Appointment availability is controlled by the relevant embassy, consulate, government authority, or authorized scheduling system.

US Visa Desk cannot create appointment slots or require an authority to provide availability.

Once appointment-related assistance has begun, the service fee will not be refunded solely because a customer’s preferred appointment date is unavailable.

19. No Refund for Preferred Appointment Date Not Being Available

US Visa Desk does not guarantee a specific appointment date unless an express written service term clearly states otherwise.

Once appointment assistance has started, no refund will be provided solely because:

  • The preferred appointment date is unavailable;
  • An earlier appointment cannot be found;
  • Availability changes;
  • Available dates do not match the customer’s travel plans;
  • Appointment availability is limited.

20. Appointment Search and Rescheduling Services

Where a purchased service includes appointment search or rescheduling assistance, substantive work may begin when US Visa Desk starts performing appointment-related work.

This may include:

  • Reviewing appointment details;
  • Reviewing scheduling requirements;
  • Checking availability;
  • Searching for alternative dates;
  • Assisting with rescheduling where permitted.

Once such work has started, the service fee becomes non-refundable to the extent permitted by applicable law.

21. Appointment Cancellation by Government Authorities

An embassy, consulate, government authority, or authorized scheduling system may cancel, postpone, or reschedule an appointment.

Such action does not create a right to a refund for US Visa Desk services already started or performed.

Where included in the purchased service, US Visa Desk may provide reasonable administrative assistance concerning available next steps.

22. Missed Appointments

Customers are responsible for attending appointments at the correct date, time, and location.

No refund will be provided for services already performed where the customer misses an appointment because of:

  • Failure to attend;
  • Late arrival;
  • Failure to bring required documents;
  • Failure to follow official instructions;
  • Travel delays;
  • Personal circumstances;
  • Other customer-related reasons.

23. Expedited or Emergency Appointment Requests

Approval of an expedited or emergency appointment request is controlled exclusively by the relevant government authority.

US Visa Desk cannot guarantee approval.

Once assistance relating to such a request has begun, refusal of the request does not create a right to a refund for services already performed.

24. Change of Mind

A customer’s change of mind does not create a right to a refund after:

  • The 72-hour period has expired; or
  • Substantive work has begun; or
  • Service delivery has started.

If a customer changes their mind within 72 hours and substantive work has not begun, the customer may request a refund according to Sections 2, 3, and 4 of this Refund Policy.

25. Change or Cancellation of Travel Plans

A customer’s decision to change or cancel travel plans does not create a right to a refund after service has begun.

This includes:

  • Deciding not to travel;
  • Changing intended travel dates;
  • Changing destination;
  • Cancelling a trip;
  • Personal circumstances affecting travel;
  • Business circumstances affecting travel.

26. Customer-Caused Delays

No refund will be provided for work already started or performed solely because service completion is delayed by the customer’s failure to:

  • Provide requested information;
  • Provide required documents;
  • Respond to communications;
  • Review prepared information;
  • Complete required steps;
  • Pay applicable government fees;
  • Attend scheduled appointments.

27. Inaccurate or Incomplete Customer Information

US Visa Desk is not responsible for problems caused by inaccurate, incomplete, false, misleading, fraudulent, or outdated information provided by a customer.

Once work has started, no refund will be provided solely because the service is affected by inaccurate or incomplete information supplied by the customer.

28. Fraudulent Information or Documents

US Visa Desk may refuse, suspend, or terminate service where there is a reasonable basis to believe that a customer has provided:

  • Fraudulent documents;
  • Forged documents;
  • Knowingly false information;
  • Misleading information;
  • Information intended to deceive a government authority.

US Visa Desk does not assist with fraud, forgery, or misrepresentation.

Refund eligibility in such circumstances will depend on applicable law, work already performed, and costs already incurred.

29. Customer Failure to Continue the Process

If a customer stops responding, abandons the application process, or decides not to continue after substantive work has begun, the service fee will remain non-refundable to the extent permitted by applicable law.

US Visa Desk is not responsible for a customer’s voluntary decision to discontinue a process after services have started.

30. Completed or Substantially Completed Services

Once the purchased service has been completed or substantially completed, the service fee is non-refundable to the extent permitted by applicable law.

Examples may include:

  • Application assistance completed;
  • Document review completed;
  • Document checklist delivered;
  • Appointment assistance performed;
  • Appointment search work performed;
  • Interview preparation materials delivered;
  • Interview preparation session completed;
  • Another purchased service substantially delivered.

31. Duplicate Payments

Verified duplicate payments for the same service may be refunded after review and verification.

32. Billing Errors

Customers who believe they were charged incorrectly should contact:

Verified billing errors will be reviewed and corrected where appropriate.

Customers who believe a payment method was used without authorization should contact their bank or payment provider promptly.

34. Chargebacks and Payment Disputes

Customers are encouraged to contact US Visa Desk first regarding billing or service concerns.

Nothing in this Refund Policy removes chargeback, payment dispute, or consumer rights available under applicable law or payment network rules.

When responding to a payment dispute, US Visa Desk may provide relevant records to payment processors, banks, card issuers, payment networks, or financial institutions.

These records may include:

  • Transaction records;
  • Customer communications;
  • Service records;
  • Customer authorizations;
  • Evidence of service commencement;
  • Evidence of work performed;
  • Relevant terms and policies.

35. Refund Review Process

A valid refund request will be reviewed based on relevant factors, including:

  • Date and time of purchase;
  • Date and time of cancellation request;
  • Service purchased;
  • Whether substantive work started;
  • Services already performed;
  • Materials already delivered;
  • Appointment-related work performed;
  • Relevant customer communications;
  • Applicable legal requirements.

US Visa Desk may request reasonable additional information necessary to verify and review the request.

36. Approved Refunds

If a refund is approved, it will generally be returned through the original payment method where technically possible.

The refund amount will be determined according to this Refund Policy and applicable law.

Where the original payment method cannot receive the refund, another lawful refund method may be considered after reasonable verification.

37. Refund Processing Time

US Visa Desk will aim to process an approved refund within a reasonable period.

After US Visa Desk issues the refund, the time required for funds to appear may depend on:

  • The payment processor;
  • Customer’s bank;
  • Card issuer;
  • Payment network;
  • Other financial institutions.

US Visa Desk does not control independent bank or payment provider processing times.

38. Currency Conversion, Bank Charges, and Promotional Prices

Where a transaction involves currency conversion, the amount received after a refund may be affected by:

  • Exchange rate changes;
  • Bank conversion rates;
  • International transaction fees;
  • Independent payment provider charges.

US Visa Desk is not responsible for differences caused solely by independent bank fees or currency conversion rates.

If a service was purchased at a promotional or discounted price, any approved refund will be based on the amount actually paid, subject to applicable law.

39. Consumer Protection Rights and Changes to This Policy

Nothing in this Refund Policy removes, limits, or waives mandatory consumer protection, cancellation, refund, or payment dispute rights that cannot legally be excluded.

Where applicable law provides stronger mandatory rights, those rights will apply.

US Visa Desk may update this Refund Policy from time to time. The latest version will be published on the website with a revised β€œLast Updated” date.
